Vendor Terms & Conditions

1. Introduction

These Vendor Terms & Conditions govern all applications for, bookings of, and attendance at Loughborough Card Show ("the Event").

The Event is organised and operated by Card Goblin Limited ("the Organiser", "we", "our", or "us").

By submitting a vendor application, booking a table, or attending the Event as a vendor, you agree to be bound by these Terms & Conditions.

2. Vendor Applications

Submission of an application does not guarantee acceptance.

The Organiser reserves the right to:

  • Accept or decline any application.

  • Limit the number of vendors in specific categories.

  • Request additional information before approving an application.

  • Withdraw an offer of space where necessary.

The Organiser is not required to provide reasons for declining an application.

3. Table Allocation

Table locations and allocations are determined by the Organiser.

While reasonable efforts will be made to accommodate preferences, specific table positions cannot be guaranteed.

The Organiser reserves the right to amend table allocations at any time where operationally necessary.

4. Vendor Fees

Vendor spaces must be paid for in full by the deadline specified by the Organiser.

Failure to make payment may result in cancellation of the booking and reassignment of the space.

All fees are quoted in Pounds Sterling (£).

5. Vendor Cancellations

More than 30 days before the Event

Vendor cancellations made more than 30 days before the Event may be eligible for a refund, less any non-recoverable administrative costs.

Within 30 days of the Event

Vendor cancellations made within 30 days of the Event are generally non-refundable.

Failure to Attend

No refund will be provided where a vendor fails to attend without prior written agreement.

The Organiser may, at its sole discretion, resell any cancelled vendor space.

6. Event Cancellation or Postponement

If the Event is cancelled by the Organiser and not rescheduled, vendor fees paid will be refunded.

If the Event is postponed:

  • Bookings will automatically transfer to the new date where possible.

  • Refund arrangements, if applicable, will be communicated at the time.

The Organiser shall not be liable for any additional losses incurred by vendors, including travel, accommodation, stock purchases, or loss of profits.

7. Permitted Products

Vendors may only sell products that have been approved or are reasonably consistent with the nature of the Event.

Examples include:

  • Trading cards

  • Sealed trading card products

  • Collectibles

  • Accessories

  • Related hobby merchandise

The Organiser reserves the right to require the removal of products deemed unsuitable.

8. Prohibited Items

Vendors must not sell, display, promote, or distribute:

  • Counterfeit or fake products

  • Stolen goods

  • Illegal goods

  • Offensive, discriminatory, or unlawful material

  • Products that infringe intellectual property rights

  • Age-restricted products where appropriate licences are not held

The Organiser may require immediate removal of prohibited items and may remove vendors from the Event without refund.

9. Conduct

Vendors must behave professionally and respectfully towards:

  • Attendees

  • Other vendors

  • Venue staff

  • Event staff and volunteers

The Organiser reserves the right to remove any vendor whose conduct is considered abusive, threatening, disruptive, unsafe, or detrimental to the Event.

No refund will be issued in such circumstances.

10. Set-Up and Breakdown

Vendors must:

  • Arrive within the designated setup period.

  • Complete setup before public admission.

  • Keep their area tidy and safe.

  • Remain operational throughout published trading hours unless otherwise agreed.

Vendors must not begin packing away before the Event closes without permission from the Organiser.

11. Health and Safety

Vendors are responsible for ensuring that their stand, stock, displays, and equipment are safe.

Aisles, fire exits, and emergency access routes must remain unobstructed at all times.

Vendors must comply with venue regulations and instructions from Event staff.

12. Insurance

Vendors are strongly advised to hold appropriate public liability insurance.

The Organiser accepts no responsibility for:

  • Theft

  • Loss

  • Damage to stock

  • Damage to equipment

  • Personal injury suffered by vendors or their staff, except where required by law

Vendors attend and trade at their own risk.

13. Photography and Filming

Photography and filming may take place during the Event.

By attending as a vendor, you acknowledge that photographs or video footage containing your stand, products, branding, or likeness may be used by the Organiser for promotional and marketing purposes.

If you have concerns regarding specific use of images, please contact the Organiser before the Event.

14. Data Protection

Personal information submitted as part of a vendor application or booking will be processed in accordance with the Loughborough Card Show Privacy Policy.

15. Right to Refuse or Remove Vendors

The Organiser reserves the right to:

  • Refuse applications.

  • Cancel bookings.

  • Remove vendors from the Event.

  • Restrict the sale of particular products.

Where a vendor is removed due to breach of these Terms, no refund shall be payable.

16. Limitation of Liability

To the fullest extent permitted by law, Card Goblin Limited shall not be liable for:

  • Loss of profits

  • Loss of business opportunities

  • Loss or damage to stock

  • Travel or accommodation expenses

  • Indirect or consequential losses

Nothing in these Terms excludes liability where such exclusion would be unlawful.

17. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any dispute arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
